Booking Policies

Payment

Visa or Mastercard are accepted methods of payment. A deposit of the first night’s rental is due at the time of booking. The remaining balance is charged 30 days prior to arrival. If the reservation is made within 30 days of arrival the full balance will be charged at the time of booking.

Cancellation

Reservations cancelled prior to 30 days before arrival can be re-booked at another time subject to availability, if not re-booked a cancellation fee of $50.00 will be charged and the remaining deposit amount will be refunded. Cancellations made within 30 days of arrival are non-refundable, however, a $50.00 cancellation fee is deducted and the remaining balance is held as a credit to be used within the following 12 months. Cancellations made within 72 hours prior to the check in date are non-refundable.

Golf Tee-Times Payment, Changes & Cancellation

Golf balances are charged to the credit card on file 7 days prior to arrival, at which time a final payment email confirmation is sent . Any changes or cancellation requests are to be made through the Fairmont Creek office, and not directly with the course/s. One change is free of charge; additional changes may be subject to a small administration fee. Fairmont Creek does not charge a cancellation fee, however once within 7 days of arrival cancellations are at the discretion of the individual golf courses and their policies which are typically 72 hours before the tee-time.

Minimum Age Requirement

No guest younger than 25 years of age on the day of check-in will be permitted to rent unless accompanied in the same property by a parent or guardian. Please be aware that guests that do not meet the minimum age policy will be denied check-in, or will be required to vacate a rented property. No refunds or other compensation shall be due from Fairmont Creek Property Rentals to anyone as a result of the denial of occupancy to an underage guest or other accompanying guests. Fairmont Creek Property Rentals reserves the right to ask for proof of age.

Security Deposit

A security deposit is charged for each property on the day of arrival by means of credit card pre-authorization. Providing no policies are violated or additional charges incurred during the stay including (but not limited to) noise complaints, excessive wear and tear, damage, additional cleaning or garbage removal the pre-authorization will automatically be removed by the guests credit card company. The guest agrees to pay for all incidental charges and damages incurred during their stay. Security deposit amounts vary depending on the property reserved:

  • Timbers Resort Cabins – $250.00
  • All other properties – $500.00
  • Mountain View 6 Bedroom Home – $1000.00

Pets/Smoking

Please note that all units are strictly PET FREE with the exception of Marble Canyon 701, The Residences at Fairmont Ridge Units 11 & 14, Creekside Cabin, Falcon Cabin and Timbers Resort Cabins.

Pet fee is $25 per night. Limit of 1 large or 2 small dogs per unit.

All units are strictly non-smoking however smoking is permitted on decks and patios. Please use the ash trays provided.

If evidence of smoking or a pet is found in any property, additional cleaning charges will apply.

Check-in/Check-out

Check-in is anytime after 5:00 pm directly at the rental property. Property coded locks are automated to operate from 5:00 pm and will not work prior to that time.

Check-out is at 10:00 am. Guests are required to remove all garbage and recycling, leave the property tidy and start the dishwasher with any dirty dishes prior to departure.

Early check-in and/or late check-outs can sometimes be accommodated depending on the availability of the property. Contact the office 24-48 hours prior to your check-in/out to request an early check-in or late check-out.

Guest Supplies/What Should I Bring

All properties are equipped with a complimentary  “STARTER KIT” of toilet paper, dishwashing detergent, laundry soap, paper towel, coffee, coffee filters, plastic bags and Kleenex. Please visit Fairmont Mountainside Market in Fairmont Hot Springs or the General Store at Panorama Resort for all your basic needs.

We DO NOT supply beach towels for the Hot Spring pools, salt & pepper, cling wrap, tin foil, blenders, hair dryers, shampoo, shower gels, conditioner etc.

Office Hours and Emergencies

Our office is open Monday-Friday from 8.30 am to 5:00 pm. We are closed weekends and holidays. We are located a few doors down from the grocery store next to Fairmont Pizza and Ice Cream Parlour. You can also visit our Guest Service desk located at the Show Suite, unit 9, at the Residences at Fairmont Ridge.

Call our office at any time for assistance, 250-345-6116. Outside of office hours you will be directed to call an emergency on-call staff member for assistance.

Multiple Properties

Please note that all properties are privately owned and so furnished and equipped to the owners preference. Items are not to be removed from a property otherwise a re-stocking fee will be charged.

Internet and Phones

Most properties are equipped with property specific WiFi Internet and phones with long distance calling. Please check with the office to see if this is included at your property free of charge.

Housekeeping

Your property will be clean and ready for your arrival. Service cleans mid-stay are not included although can be arranged through our office for an additional fee. Washers and dryers are provided in most properties. Additional towels can be delivered to your property with 24 hours notice.

Lost and Found Items

Personal belongings or items found in a property after a guests departure will be held at the Fairmont Creek office for 30 days and every effort will be made to contact the guest who made the reservation. In the event the item is not claimed within 30 days of it being found it will be donated to a local charity thrift store.
